How much does XBert cost?

XBert uses value-based pricing with two components: a per-user fee and a per-client data plan based on activity volume. Every plan includes every feature — 80+ built-in data quality checks, unlimited Custom XBerts, the client portal, all 26+ BI reports, workflow automation with free templates, XBert Intelligence, and five-star support. Nothing is locked behind a higher tier. In AUD, the per-user fee is $29/month on an annual plan or $34.80/month on a monthly plan. Per-client data plans start from $7/month (annual) for low-activity files. Pricing is also available in GBP, ZAR, and USD. A free trial is available with no credit card required.

Do I pay per user, per client, or both?

Both — and the model is straightforward. You pay a per-user fee for each team member who accesses XBert (covering workflow, analytics, custom alerts, and all platform features). You pay a separate per-client data plan for each connected client accounting file that XBert monitors for data quality. The data plan cost is based on that client's activity volume — how many journal entries their file generates per month. Small files stay cheap. Complex, high-volume files carry their weight. There is no difference in cost based on whether you sign up as an individual or through a practice. Workflow functionality is included in the user fee regardless of whether you connect any client files.

What counts as an activity in XBert's pricing?

An activity is any data entry in your client's accounting file that generates a journal entry. This includes sales invoices, purchase bills, payroll entries, and any additional changes or edits to those entries. Activities are not bank transactions alone — any edit of data is also monitored by XBert and counted toward activity totals. Plans are determined by the average number of journal entries processed per month in a client file. On annually paid plans, activity volume carries over and accumulates each month to even out busier and slower periods across the year. At the end of each billing period, the count resets to zero.

In AUD on an annual plan: Micro (0-100 activities/month) is $7.00/month; Small (101-250 activities/month) is $16.00/month; Medium (251-600 activities/month) is $36.00/month; Large (601-1,500 activities/month) is $59.00/month; Extra Large (1,501-4,000 activities/month) is $89.00/month; Enterprise (4,001-10,000 activities/month) is $99.00/month. Monthly billing rates are slightly higher. GBP annual rates run from £4 (Micro) to £52 (Enterprise). ZAR and USD plans are also available. All pricing excludes sales tax.

Can I use XBert for workflow management only, without connecting client files?

Yes. Workflow functionality is included in the per-user fee and can be used independently of any client file connections. You can set up your full workflow system — recurring templates, task management, capacity management, team views, and email-to-task automation — without activating AI data quality monitoring. Per-client data plan billing only begins when you connect a client accounting file. This makes XBert accessible for firms that want to start with workflow and add AI data quality monitoring progressively as they onboard more clients.

How do I know which activity plan tier my clients fall into?

Activity volumes are tracked automatically once a client file is connected. XBert counts the number of journal entries processed each month and places each client file in the appropriate tier. You can see each client's activity count in the 'Units This Period' column inside your XBert account. On annually paid plans, activity volume accumulates across the year to smooth out seasonal peaks and quiet periods — so a busy BAS quarter doesn't push a client into a higher tier permanently. XBert's account team can also help you estimate tier placement for existing client files during onboarding.

Does XBert charge separately for XBert Intelligence (XI) or custom alerts?

No. XBert Intelligence — including unlimited custom AI alerts and access to the XI Global Prompt Community — is included in every plan at no additional charge. There is no AI add-on, no usage cap on custom XBerts, and no extra cost for the community library. The 80+ pre-configured data quality checks are also included in every connected client data plan. Everything is in the two-component model: per-user fee plus per-client data plan.
